How to write an RFQ that gets better quotes

Suppliers answer clear requests first. A request for quotation that takes two minutes to understand gets more replies and tighter prices.

What to include

  • Exact product: name, grade, size, material, standard.
  • Quantity and unit: 200 bags, 15 pallets, 3 tons. Do not leave the unit out.
  • Delivery place and date: city, site or warehouse, and when you need it.
  • Terms you expect: delivered or ex-warehouse, payment terms, documents.
  • What can vary: say if an equivalent brand or a partial delivery is acceptable.

Common mistakes

One line such as "need cement, best price" forces every supplier to ask the same questions. A request without a quantity gets list prices, not real offers.

After you send it

Compare quotes on the same basis: total delivered cost, lead time and payment terms, not unit price alone.
